LÆFAN / Guidance / Loans and temporary exhibitions

Temporary context needs a boundary

A loan or exhibition should not disappear into the permanent monitoring record.

LÆFAN uses Campaigns to give temporary monitoring a purpose, a period, covered locations and an environmental profile, while keeping the underlying sensor readings part of the same museum record.

LÆFAN supports the monitoring record. It does not replace a conservator, collections policy, loan agreement or the text of a published standard.

What exists in LÆFAN today

Campaigns are the temporary monitoring context.

A Campaign can represent a loan, temporary exhibition, light exposure study or conservation investigation. It gives that work a defined period and lets the museum relate the relevant places, sensors and profile to the reason monitoring was intensified or treated differently.

CAMPAIGNWhy are we monitoring?

Loan, exhibition, investigation or another temporary collections activity.

PROFILEWhat conditions apply?

Use the environmental expectations appropriate to the material, lender agreement or conservation decision.

EVIDENCEWhat happened during it?

Readings, excursions, samples and review remain tied to the period and place.

LÆFAN is not a collections logistics system.

It does not currently model crates, packing workflows, chain of custody or transport stages. It records the environmental monitoring context around a loan or exhibition and can sit alongside the museum's collections management and transport processes.

A practical workflow

Keep the temporary context without duplicating the sensor record.

01Create campaignName the loan, exhibition or investigation and set its period.
02Choose profileRecord the environmental expectations that apply during the campaign.
03Cover places & sensorsLink the locations and sensors involved in the temporary context.
04Plan checksUse monitoring plans and spot samples where manual or specialist evidence is needed.
05Retain the recordKeep alerts, readings and review history understandable after the campaign closes.

Guidance around loans

Environmental requirements sit alongside packing and transport requirements.

Where cultural property is being moved, BS EN 15946:2011 covers packing principles for transport and BS EN 16648:2015 covers transport methods. Those standards are broader than LÆFAN's current role. LÆFAN contributes the environmental monitoring record before, during or after a loan wherever suitable data are available.

Loan agreements may also specify particular environmental requirements. Those should be reflected in the campaign's assigned profile rather than replaced by a generic default.
